MCAA Midyear Meeting 2024 Hotel Reservation Request

THE CHATEAUX DEER VALLEY AND STEIN ERIKSEN LODGE DEER VALLEY

The resort is unique being a mountain resort. They have very rigid cancellation policies. Please be aware of the following details regarding changes you may need to make to your reservation. Any changes/cancels before July 22nd are fine, and you need to contact GRI to assist with those changes/cancels. Room rates are only guaranteed until July 22nd or when the current room block runs out of rooms. If the room block fills before July 22nd, the resort may offer additional rooms, but they will likely be at a higher per day rate.

Shortening stays/cancels to room reservations must be made before July 22nd. Any date changes to shorten a stay or cancel a reservation after July 22nd will be back charged at full rate by MCAA to the cancelling person, on behalf of the resort as they will be charging MCAA for those unused room nights. If you need to shorten your stay or cancel your room after July 22nd, please contact GRI. It is important to notify GRI as soon as possible as we will do everything we can to resell your room nights to a new attendee. If GRI can resell your room nights, you will not be responsible for those nights any longer. DO NOT CALL THE RESORT TO CANCEL YOUR ROOM.

If you are a ‘no show’, the resort will charge MCAA the room rate for the nights of your reservation and MCAA will have to collect that rate through a back charge. In addition, if you are a late arrival, the resort will charge MCAA for the unused night(s), and if you decide to leave early, the resort will charge MCAA for the unused night(s). MCAA will have to back charge you as well for late arrival and/or early departure nights.

  • AS OF TODAY, WE ARE SOLD OUT OF KINGS & Q/Q ROOMS AND ALL SUITES AT THE HOTEL HERSHEY, PLEASE CONTINUE COMPLETING THIS HOUSING FORM AND SUBMIT YOUR HOUSING REQUEST.   YOU WILL IMMEDIATELY RECEIVE AN EMAIL ACKNOWLEDGEMENT THAT YOU REQUEST HAS BEEN RECEIVED.   YOU WILL BE WAITLISTED FOR A ROOM WHILE WE REACH OUT TO SEE IF ANY ADDITIONAL ROOMS ARE AVAILABLE.   ALL REQUESTS WILL BE PROCESSED IN THE ORDER RECEIVED.
  • Please note that the majority of MCAA’s rooms are blocked at The Chateaux. If you request to stay at the Stein Eriksen Lodge and all MCAA rooms at the Lodge have been sold, your reservation will be processed for The Chateaux and waitlisted for the Stein Eriksen. This will be noted on your housing confirmation sent by GRI.

  • Room Rates (All are non-smoking rooms)

    • King or Queen Room – $289 per night plus tax single/double occupancy
    • Queen/Queen Room – $289 plus tax single/double/triple/quad occupancy

    *The hotel has a limited number of single bedded rooms and will not guarantee the bed type reserved.
    Taxes:  The current rate is 13.37% per room per night and may be subject to change.
  • The resort has a limited number of wheel chair accessible rooms and has indicated a request for this special room needs to be requested 60 days in advance of the show. Please indicate below your needs:

  • In addition to the room rates listed above for The Chateaux, there will be a daily Resort Fee of $35, per night, which includes:

    • Bellman gratuities
    • Housekeeping gratuities
    • Wireless internet access in guest rooms & meeting rooms
    • Access to fitness center pool, and hot tub
    • In-room bottled water upon arrival
    • Business center access
    • Skis, golf bag & mountain bike storage
    • In town shuttle (Park City destinations, on a first come basis)

  • In addition to the room rates listed above for Stein Eriksen, there will be a daily Resort Fee of $45, per night, which includes:

    • Bellman gratuities
    • Housekeeping gratuities
    • Wireless internet access in guest rooms & meeting rooms
    • Access to fitness center pools, and hot tubs
    • In-room bottled water upon arrival
    • Business center access
    • Skis, golf bag & mountain bike storage
    • Access to movie screenings and entertainment in the Freestyle Theater
    • Complimentary use of games in the Champions Club
    • In town shuttle (Park City destinations, on a first come basis)

  • Taxes:  The current state and local taxes are 11% and subject to change without prior notification..

  • Self-parking has been discounted from $24 to $12 per day for MCAA guests (current tax is 9.75%)

  • Suites (not pre-blocked, sold based on current availability)

  • The Chateaux has offered a discounted rate of $578 per night plus tax and fees for a One Bedroom Suite. These suites are not pre-blocked and will be sold based on current availability.
  • The Stein Eriksen has offered a discounted rate of $529 per night plus tax and fees for a One Bedroom Luxury Suite. These suites are not pre-blocked and will be sold based on current availability.

  • Individual Guest Cancellation Policy is 72 hours prior to the scheduled day of arrival

  • Reservation Guarantee:

    GRI staff will contact you to get the credit card that will be used to guarantee your reservation. The resort requires each guest provide a valid credit card at check-in for payment of room, tax & fees and all incidentals.
